Customer
service is at the heart of what we do, and you provide a high-class
professional service at all times. This role will be the dedicated
administrator for our IST unit. The successful candidate will also
support our wider business across sectors with all relevant
Administrative and co-ordination requests.

Key Responsibilities

  • Maintaining and updating project related information on the system.
  • Provide adhoc support to the team and business leads where required.
  • Able to support business generation and marketing teams in putting together bids and proposals.
  • Undertake
    daily meeting room checks, log proactive tickets, and replenish
    stationery materials ensuring meeting space is consistently provided to
    the highest standard.
  • Provide all mailroom, logistics, stationery, distribution, and reception services as required.
  • Allocate parking spaces and manage the parking areas, where applicable.
  • Assist with events set up and coordination, where applicable.
  • Undertakes site essential administration and logistical support to colleagues as necessary.
  • Demonstration of success is key to this role and you will strive to excel in the delivery of KPI's and SLA's.
  • Undertake office support tasks, site inspections and reporting as necessary.
  • When required you log and track supplier related issues and support.
  • Where applicable complete team spend trackers to assist management with operational budget.
  • Manage all travel arrangements for the team.
  • Arrange team events and meetings both on-site and external locations.
  • Update and create meeting presentations and reports as requested.
  • Complete assignments accurately and within set deadlines.

Qualifications

Knowledge, Skills and Experience

  • Presentation and influencing skills.
  • Proven ability to continuously improve and employ creative means to find solutions.
  • Proven
    ability to multitask, problem solve, manage work time, prioritise
    effectively and work on own initiative or as part of a team.
  • Excellent attention to detail and accuracy.
  • This
    position requires the knowledge of several different software packages
    (e.g. Microsoft 365. Training will be provided but it is essential this
    post holder possess good computer and IT skills.
  • Familiarity with the Facilities Management function within a regulated industry P.O. management, invoicing, billing experience.
  • Able to work collaboratively in teams and well organised.
